New Hire Mandatory Processes

The following steps must be completed before your first scheduled start date.

Throughout the pre-employment process, most of our communication will come through email and/or text. Please watch for multiple emails between now and your scheduled start date. Be sure to check your spam/junk folder if you don’t see an email within the timeline below.

MercyOne is a member of Trinity Health in Livonia, Michigan. Some of the emails and communication you receive may come from Trinity Health.

Our communication timeline is as follows:

Your Background and Employment Verification will be completed through Sterling. Watch for an email from NoReply@sterling.app. Follow the instructions in the email provided. You will click on the link provided in the email, sign the electronic consent forms and complete the data collection requirements.
 
Please ensure that you complete the process requirements within 2 business days of receiving the email from NoReply@sterling.appYour start date is linked to the completion of the steps provided. 
 
Important: You may be asked to provide employment history through the data-collection process. The employment history investigation can be significantly shortened if a legitimate e-mail address for your employers is provided along with a supervisor or HR representative’s name. If you were working for a temporary agency, please provide your agency’s contact information rather than the company you were placed with.

Complete three tasks (Offer letter, SSN, Personal Information) in Workday (Candidate). All tasks must be fully completed before we will be able to proceed. These tasks must be completed within 24-48 hours of offer, or your start date may be affected.

For technical assistance, please contact the HR Service Center at 877-750-4748 option 3.
  • Complete section 1 of your Form I-9 in Workday.
  • Please bring your I-9 documents to Day 1 Orientation to be processed. If you need to submit your I-9 documents in an alternative way, please reach out to your Talent Acquisition Coordinator directly.
  • Documentation Verification happens in Equifax at your Orientation.
  • If you will be working fully remote, please communicate with your Talent Acquisition Coordinator to complete alternative process.
  • Review the list of acceptable documents required for your appointment.
  • I-9 completion
  • Updating Workday profile
  • New hire forms.

Please bring your I-9 documents to Day 1 Orientation unless you are remote or not able to attend Day 1 Orientation. If you can’t bring your I-9 forms, please coordinate with the Talent Acquisition Coordinator for an alternative solution to provide the documents within three days of your start.

 

Payroll and Benefits 
 

You will be given access and time to complete in Orientation Day 1

  1.  
  2. Log in to Healthstream to access the benefits and payroll presentation.
  3. First document includes: Benefits, pension and retirement information.
    1. Note: for all colleagues regardless of FTE status, including PRN, 403b deductions are automatic, unless you opt out.
    2. A letter will be sent to your home from Fidelity providing you instructions on how to opt out if you so desire
  4. Complete HealthStream task
    1. You will receive an attached document to help walk you through signing into HealthStream, setting password and updating mandatory requirements. 
    2. Courses you must complete will be listed in your account when you log in.

You are responsible for scheduling your MercyOne North Iowa Occupational Health Appointment, please call:  641-428-5244 within 24 hours of signing your New Hire Offer letter. Hours of operation: Monday–Friday 7:30 a.m.–4:30 p.m.

 Your employee health appointment is an assessment that includes a review of the functional requirements of the position, a urine drug screen, a CRT screening and a blood draw, all provided at no cost to you.

  •  Your appointment must be completed at least 10 business days before your start date.
  • Your appointment will take place at MercyOne North Iowa Occupational Health at 1501 4th Street S.W. Mason City, Iowa 50401.
  • You must arrive 30 minutes prior to your scheduled appointment.
    • Appointments can last approximately 2 hours. If you are unable to attend your appointment, you will need to reschedule (1 time only) with MercyOne North Iowa Occupational Health at least 24 hours before your scheduled appointment, and call your recruiter with the new date.
  • You will complete a New Hire Medical form at your scheduled appointment

Bring to your appointment

  • Valid government-issued photo ID
  • Immunization Records
  • COVID-19 Vaccine Card OR completed medical or religious exemption COVID-19/Influenza Form.
  • All patient-facing colleagues must complete the form and certification included in the New Hire attachment(s)

Please Note: All male employees who require respirator FIT testing must shave before appointment to be compliant with OSHA requirements or will need to be trained in CAPR/PAPR use following their appointment. 

 Urinalysis drug screen is required at the time of your scheduled employee health appointment. Please come well hydrated prior to your appointment time.

VACCINE REQUIREMENTS FOR ALL TEAM MEMBERS:

  • Varicella (chicken pox) - lab documented proof of immunity
  • Influenza (Flu) – proof of vaccination from current season October-April 30
  • Mumps, Measles & Rubella (MMR) - lab documented proof of immunity
  • Pertussis - documentation of Tdap vaccine
  • Hepatitis B - lab documented proof of immunity
  • COVID-19 Vaccine
  • Negative QuantiFERON gold within one year of screening or if positive QuantiFERON gold must have negative chest X-ray at MercyOne North Iowa Medical Center.
  • Meeting the immunization requirements is a condition of employment. Candidates may not join MercyOne until the requirements have been met.
  • Please let your Recruiter know immediately if you would like to request a medical or religious exemption for the COVID-19 or Influenza (Flu) Vaccine. They will provide you with an exemption request form for you to complete and bring to your Employee Health Appointment.
  • Make sure to ask Employee Health to confirm whether it is a CRT or Non-CRT appointment.

Required paperwork to complete and bring to employee health appointment

  1. If you are interested in submitting a COVID Exemption request 

    Please fill out the appropriate request form (COVID-19 Medical Exemption or COVID-19 Religious Exemption Form)

  2. Please make sure you complete the form in its entirety
  3. Submit your COVID-19/influenza exemptions documents to the employee health email at EMPHLTHMC@mercyhealth.com and CC your TAC to that email.
  4. Your request form will be reviewed, and you will be notified of clearance.
  5. Prior to start, to clear the onboarding process

  • If your position requires specific education, licensure or certification, we will reach out to you via email to request proof.
  • Please monitor your email and respond quickly to any request that is sent.
  • All certifications must be valid and up to date at time of your first day.
    • If any of your certifications will be expiring prior to your assignment end date please provide a receipt for your scheduled re-certification class
  • If you are completing your assignment in a state that has an Emergency Order in place and you do NOT have licensure in that state. Please apply for a nursing license as soon as possible if you currently are working.
    • If/When that emergency order ends or expires and if you do NOT have a license, we will be forced to remove you from the schedule.
  • NOTE: Currently Trinity Health accepts AHA ACLS, BLS, PALS

As you complete these mandatory pre-hire processes, we will do everything on our end to get you started on schedule. You will be notified via a Clearance Email once you are cleared and approved to start work.

This email will include orientation information, schedule Information and important information regarding your first week of employment. We are excited for you to join MercyOne!

If for any reason you are not cleared to start before the deadline, we will notify you via email and let you know next steps.
